The Challenge & Problem Space
A fast-growing fintech company with distributed operations across 6 continents managed client intake, KYC status tracking, and wire verification through shared master Google Sheets. The lack of automated notifications caused major bottlenecks:
- Silent Changes: Critical client rows were added or modified without team members being aware until hours later.
- Tab Chaos: Over 15 department spreadsheets required constant manual refreshing and cross-tab copy pasting.
- Delayed Approvals: High-priority escrow approvals waited in spreadsheet rows, missing bank transfer cutoffs.
- Audit Trail Blindspots: No centralized log of who approved or updated transactions and when.
The Solution & Technical Architecture
Aximo Labs engineered an event-driven automation framework leveraging Google Apps Script triggers and n8n webhook listeners to parse and format spreadsheet edits into rich, bi-directional Slack message cards.
Real-Time Sync Architecture
Before Automation
- Constant manual checking of 15+ spreadsheet tabs
- Delayed notifications for urgent KYC transactions
- Unstructured team discussions scattered in DMs
- No audit trails for transaction status updates
- Accidental cell overwrites without revision tracking
Aximo Labs Deployment
- Instant sub-1.8s Slack card for every qualified row insert
- One-click [Approve] / [Flag] buttons inside Slack channels
- Immediate writeback of approver name & timestamp to sheet
- Full immutable audit logging in Postgres and Slack threads
- Granular role-based notification routing by client tier
Key System Capabilities
Dynamic Condition Filters
Only fires alerts when specific critical columns change (e.g. status changes from "Pending" to "Approved"), avoiding notification fatigue.
Interactive BlockKit Buttons
Team members approve, reject, or assign tasks directly from Slack without having to open the Google Sheets document.
Bi-Directional Cell Updates
When an action is taken in Slack, the system writes the action timestamp and user ID back to the spreadsheet instantly.
Threaded Audit History
All comments and attachments posted to the Slack message thread are synced directly as cell notes in the Google Sheet.
